How to Get Started with Microsoft To Do in 5 Simple Steps

A calendar and a dedicated place for your to-dos are essential, whether at work or at home. If you’re invested in the Microsoft 365 ecosystem (like Outlook and Office products), Microsoft To Do is your powerful, free solution for task management. In this post, we’ll walk you through 5 simple steps to get started with the app today and show you exactly how it integrates with your other Microsoft programs.

Step 1: Download and Log In

Microsoft To Do is the successor to the cloud-based app Wunderlist, which Microsoft acquired in 2015. Microsoft To Do is a free, cross-platform personal task management app. It is designed to sync your to-dos, shopping lists, and projects across all platforms.

If you use a Windows PC, you probably already have Microsoft To Do installed, but if you don’t have the program, you can find it and download it from the Microsoft Store. For mobile, download the application from the App Store, Google Play, or simply use the web version

Once you have the app, sign in to the same Microsoft account you use for Outlook and Office 365. This ensures immediate synchronization with your calendar and email.

Step 2: Master ‘My Day’ for Daily Focus

The heart of Microsoft To Do is the ‘My Day’ feature. This is your blank slate for the day, allowing you to prioritize what actually needs to get done. Use it to select tasks from your other lists, set reminders, and break down complex items into subtasks (called ‘Steps’). Unlike a calendar reminder (which is for a set time), ‘My Day’ is for actionable steps you need to check off. Need to complete a task by a specific time? Set a reminder for yourself!

This is what ‘My Day’ can look like inside the standalone version of To Do. The two lists ‘Komma igång’ (Getting started) and ‘Matvaror’ (Groceries) are there by default.

Step 3: Connect Tasks from Outlook and Email

To Do’s greatest strength is its connection to the Microsoft 365 ecosystem. Your tasks in To Do are one and the same as your Outlook Tasks. You can also instantly create a To Do item by flagging an email in Outlook. This flagged email will appear in your dedicated ‘Flagged Email’ list, turning your inbox into an actionable checklist.

Integration Details: If you use the new version of Outlook, you can bring up the To Do pane directly inside Outlook itself. However, note that while desktop Outlook offers this seamless integration, on mobile, you need the standalone To Do app – it cannot be accessed from within the mobile Outlook app.

Step 4: Organize with Lists and Collaboration

Beyond ‘My Day,’ you can create custom lists for specific contexts (e.g., ‘Q3 Project,’ ‘Shopping List,’ ‘Home Chores’). Each task can have multiple steps (subtasks) to make large goals manageable. For team projects or family lists, you can share any list via a simple invitation link, allowing real-time collaboration on tasks.

Why Choose To Do Over a Simple Calendar Reminder?

While a calendar is best for events with a set time and a hard deadline (meetings, appointments), To Do is for actionable steps and checklists. It offers features such as subtasks/steps, an intelligent ‘My Day’ planner for daily focus, and the ability to organize lists for various contexts (work, groceries, projects). You can easily move a task to ‘My Day’ to prioritize it without cluttering your main calendar.

Step 5: Understanding To Do’s Future in Planner

While To Do remains a powerful standalone app, its future is integrated into the New Microsoft Planner. At last year’s Microsoft Ignite, it was announced that Microsoft has combined To Do, Planner, and Project into one unified solution. Your personal To Do tasks are now centralized alongside your shared team tasks in the Planner application under the ‘My Tasks’ view. This means you can manage your personal to-dos and your collaborative workload all from one place within Teams or the web, making To Do the essential personal task component of the larger Microsoft work ecosystem.

The goal of this unification is to encourage collaboration and keep things simple and centralized. Since Planner is an integrated part of Microsoft Teams, this change allows the user to stay inside the Teams application and manage their personal tasks alongside their team’s shared workload.

Final Thoughts and Next Steps

Microsoft To Do is more than just a simple checklist app – it is the free, personal backbone of Microsoft’s entire task management strategy.

If you are already utilizing Outlook or any part of the Microsoft 365 ecosystem, integrating To Do is a logical step toward simplifying your workflow. By centralizing your tasks, setting up the “My Day” view, and leveraging its seamless sync, you gain a clear, distraction-free view of everything you need to accomplish.

As Microsoft fully transitions to the new Planner experience, starting with To Do now ensures you are ready for the future of task management, where your personal to-dos merge effortlessly with your team projects.
